Privacy Policy Statement

The Learning Resource Center serves the students, Faculty, Staff, and other stakeholders of the University. The Grade School is composed of Kinder to Grade 6 students, the Junior High School students are from Grade 7 to 10. The Senior High School serves all students enrolled in all tracks.

For the Undergraduate and Graduate Students, the LRC assists the seven (7) colleges such as College of Arts and Sciences, Colleges of Business and Accountancy, College of Computer Studies, Engineering and Architecture, College of Criminal Justice System, College of Nursing, College of Teacher Education, and College of Tourism and Hospitality Management while Graduate serves the masters and doctorate students.

At LSU Learning Resource Center, we are committed to protecting the privacy and confidentiality of all individuals who use our services and access our resources. This privacy policy statement outlines how to collect, use, and protect library data to ensure the security and privacy of our patrons.

What LRC Data We Collect

1.1 Patron Profile Information

We keep information about you, such as name, nickname, local address, and cell phone number (if you provide it to us to receive SMS messages about holds and recalls). This information is normally retained for two years after the individual leaves the University, or indefinitely if the user has outstanding loans of fines.

1.2 Information on Use of LRC Materials and Services

When you check out items of the LRC, request materials from other institutions, use document delivery services to request physical items from our collection, use the special collections section, and access articles and databases from third-party providers, we retain data such as your IP address, transaction timestamp, nickname, and information on the materials you requested or accessed. Other data such as Interlibrary loan transactions are kept indefinitely.

1.3 Logging Information

When you interact with library websites or access online journals or databases, we may record information such as username, email address, browser and operating system used, date and time of login, length of session, page visits, and other transaction timestamps. This data is kept for at least 90 days.

1.4 Media and Information Literacy Instruction Session

When a class you enroll in has a media and information literacy session, we record the semester, course, program, name, and email address. This data is kept indefinitely.

How We Collect LRC Data

2.1 Directly

The LRC receives data directly from you when you complete the forms, submit requests, and so on.

2.2 Automatically

Most of the Library’s systems generate and store data based on system visits and online interactions with LRC and third-party resources.

2.3 From External Sources

We use Google Analytics, which provides website traffic statistics. We use the information to better understand how library websites are being used and to improve our interface and services.

How We Use LRC Data

LRC data is an institutional asset and may be used only by authorized university entities according to strict policy and processes established by the university and in compliance with Philippine Law. The LSU uses library data for:

  1. Service Support
    We use transaction records of web interactions to troubleshoot resource access and system problems and provide services to students, faculty, and staff. We summarize this data and report on it in a number of ways, including by gender, class year, program, or course registration information (school or college, department, course).
  2. Integration with Teaching and Learning Initiatives
    The LRC collects some data about your use of library resources to help improve its services and integrate them with broader teaching and learning initiatives at LSU.
  3. Planning and Institutional Reporting
    LRC analyzes data to identify, evaluate, and respond to trends in LRC services and education. Examples include:
    1. Examine and describe LRC use across campus population (e.g., programs, student levels), in order to improve services, create personalized resource pathways, and allocate collection resources;
    2. Analyzing trends in the percentage of first year students who participate in a LRC Orientation and instruction session to inform future marketing of LRC instruction to faculty.
    3. Analyzing trends in the percentage of all students who join the LRC media and information literacy (MIL) sessions to inform the college deans for future marketing endeavors.
    4. Analyzing patterns in document delivery services by patron type and/or department to understand the nature of scholarship in various disciplines and how our services can be improved to meet those needs.
  4. Research
    LRC may use summary data (with no individual identity information) for academic research purposes.

How We Share LRC Data

Access to library data is safeguarded through several mechanisms, including university policy, Institutional Review Board, LSU Data Privacy Office, professional standards (e.g. Standards for Philippine Libraries), and Philippine Law.

4.1 Service Providers

The LRC engages service providers, such as software vendors, to support library systems and services. For example, when you request and use materials from the Special Collection Section, your identity and a record of the materials you use are stored on the vendor’s site. We require our service providers to keep your personal information secure and use it only for providing services on the university’s behalf.

4.2 Third-party/Licensed Content Providers

The LRC offers services and/or content such as online journals and subject databases from third-party vendors. When you follow a link from the library website to a third-party site, your interaction with these systems will be governed by those sites’ individual privacy policies. The majority of content providers rely on IP authentication and the LRC provides no additional personal information.

4.3 Other Research Institutions

As part of research grants or projects, the LRC may share anonymized transaction logs with specific academic institutions and service providers involved in the grant, providing the researchers have obtained Institutional Review Board (IRB) approval and established a memorandum of understanding about data use and retention with the LRC.

4.4 LRC Promotion and Marketing

  1. Use of photos, videos, and other information in order to promote the LRC, including its activities and events, through marketing or advertising materials, such as brochures, website posts, physical and electronic bulletin boards, and other media
  2. Live-streaming of LRC events

Consent

By using our LRC services and resources, patrons consent to the collection, use, and retention of their data as outlined in this privacy policy statement.

Updates to Privacy Policy

6.1 We reserve the right to update or modify this privacy policy statement to reflect changes in our data practices or legal requirements. Any updates will be prominently communicated to patrons.

Other LRC Policy

Other policies of the LRC, which are not inconsistent with this one, will continue to apply. If any provision of this Policy is found to be unenforceable or invalid by any court having competent jurisdiction, the invalidity of such provision will not affect the validity of the other provisions, which shall remain in full force and effect.

Data Protection

  1. We employ appropriate technical and organizational measures to safeguard LRC data against unauthorized access, disclosure, alteration, or destruction.
  2. Access to personal information is restricted to authorized LRC staff who require such access to perform their duties.

Data Retention

  1. We retain LRC data only for as long as necessary to fulfill the purposes outlined in this privacy policy statement or as required by law.
  2. Patrons may request the deletion or modification of their personal information in accordance with applicable data protection regulations.
